Privacy Policy (summary)
- SyBox collects only what is needed to run the service, keep it secure, and meet legal obligations.
- SyBox does not sell or rent personal information to third parties.
- Information is shared only as the policy describes:
- with Meta, to deliver WhatsApp, Messenger and Instagram messages
- with the SMS or email providers a customer sets up
- with hosting providers
- with integrations the customer turns on (such as Google)
- with payment providers
- where the law requires it
- Google features are optional: importing Google Contacts and signing in with Google. A customer turns them on and can disconnect them at any time.
- The AI features (voice-note-to-text, translation, reading screenshots, message tone) use SyBox's own models on its own servers. That content is not sent to a third-party AI provider and is not used to train anyone else's models.
- Account data is kept while the account is active. Conversation and contact data stays under the customer's control. It is deleted when the customer deletes it or closes the workspace, apart from short backup and legal-retention periods.
- Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal data. To use these rights, contact privacy@smartsybox.com.
- If you messaged a business that uses SyBox, that business controls your conversation. Send your request to that business.
Data Deletion (summary)
Your data can be deleted in two ways:
- Automatically, one month after you disconnect: when you remove SyBox's access to your WhatsApp Business account, that account's data is scheduled for deletion and you are told the date. It is kept for one month in case you reconnect, then erased. That covers the conversations and their media, the message templates, and the access credentials held for that account.
- Immediately, on request: email privacy@smartsybox.com from the address on your account. Write "Delete my data" and include your workspace name. You can ask for your whole workspace to be deleted. SyBox checks the request, erases the data without waiting for the month, and confirms when it is done.
What is deleted:
- your account and profile details
- contacts, labels and departments
- conversations and messages on all channels, with their media
- connected-integration tokens (such as Google), which are revoked
How long it takes: checked deletion requests are handled within 30 days. A minimal record may be kept only where the law requires it.
If you messaged a business that uses SyBox, ask that business to delete your data. SyBox will help them with your request.
Refund Policy (summary)
- Every new paid SyBox subscription includes a 14-day money-back guarantee, counted from the date of the first payment. Within those 14 days you can ask for a full refund without giving a reason, and nothing is deducted.
- A refund may be declined only where there is evidence of fraud or refund abuse. For example, connecting the same business channels that were already used for a full refund in another workspace. A genuine first-time request is always covered.
- How to ask for a refund: email billing@smartsybox.com from the workspace owner's registered address. Include your workspace name and the connected business phone number. You will get a reply by email.
- If your purchase was handled by a reseller named on your receipt, that reseller may handle the refund. Your receipt explains how to ask them.
- Approved refunds go back to the payment method you used. Bank transfers go back to the account the money came from. How long it takes depends on your bank or card issuer. When the refund is issued, the paid access ends and the workspace's connected channels are deactivated.
- Subscriptions are paid in advance and do not renew automatically, so there is nothing to cancel. You renew only if you choose to, from Settings > Subscription, or by contacting SyBox where online payment is not offered.
- After the 14 days, a paid period stays active until its end date. Unused time is not refunded, except where the law requires otherwise.
